Scan Software Product

In an office environment there seems to be no end to the paper that accumulates each day. Enter the scan software product to meet this problem. With a scanner and a computer you can convert your paper into electronic searchable files that are neatly organized into folders so that you can find information when you need it. When you add an internet connection and the RCO Storage Service or a Microsoft Sharpoint server you now have the abilitiy to publish and communicate information to clients anywhere on the planet. Accounting

When you enable the Quick Books accounting link you can generate invoices for scanning that you perform for your clients. You can choose different account types since some jobs are more labor intensive and take a longer period of time. The scan system maintains a log history of every job so you can see the account, time, date and the number of pages scanned for later review or auditing.

Annotation

Several tools are provided to annotate scanned images. The drawing annotations you make can be moved and the properties changed until you are satisfied. This is great when you have to let a client know of changes. You can also use the annotation tools for redaction when you want to hide a dollar amount or somebody's name. When you are finished making changes you merge all your annotation layers onto the scanned image creating a single PDF page.

Quick Books Bill Integration

How many times have you faced a stack of bills and had to create all the bills manually and wished there was a better way? You train the system the first time for each vendor where the company name and the bill amount are located and then just scan your bills and the software will communicate with your quick books software and create a bill for the given vendor. You can make changes to the amount in case the system does not correctly read the amount or vendor name.

Note that you can click the Navigate tab and save a copy of the bill on your local network, the Internet storage service or your intranet or extranet Sharepoint server. When you have trained the system the software will automatically go through all the known vendor templates and identify the bill vendor name. You can now create bills in a fraction of the manual process!

Internet Storage Service, Office and Sharepoint Integration

In the Navigation directory you can decide where you want to stored your scanned documents. The Internet Storage Service is a fantastic way to save your documents on the Internet. You can create new folders and then save your documents so everything is nice and organized. With the office integration you scan a table of numbers directly into a spreadsheet. Microsoft Sharepoint has become one of the most used Content Manaqement Systems on the planet and the scan software lets you publish secure documents to your Sharepoint server.

Security

Sometimes you need to protect documents especially when you post sensitive information to any internet site or send the information via electronic mail. We have two great security choices. Advanced Encryption Standard (AES) 256 bits is the United States government standard for top secret documents. You can also choose the encryption used by Adobe Systems.

Stamping

When you have want to add a stamp to every page (e.g. Client Copy) just select a stamp file template and the software will apply the stamp to every page until you turn the function off. Note that for legal documents we suggest using the stamp program because then you can apply a bates stamp to all the PDF files located under a root directory.
